We are seeking a positive and enthusiastic Workplace Services Assistant to take on the day-to-day running of our beautiful office in Sofia. The ideal candidate will support with facilities tasks, internal events and help create a safe, efficient and welcoming environment for all employees and visitors.

 

This role requires proactiveness and attention to detail as it involves a variety of administrative and operational tasks to ensure the smooth running of workplace services. Office attendance 5 days a week will be required.

 

 

What to expect:

  • Reception – provide a first-class experience for all employees and visitors to the office.
  • Handle inbound calls, taking messages and/or transferring calls internally.
  • Manage mail, deliveries and courier services.
  • Support the WPS Coordinators in facilitating office events both internally and externally.
  • Arrange catering for meetings.
  • Ensure meeting rooms are maintained and equipped for meetings.
  • Respond to requests from employees in a timely and efficient manner.
  • Collate, scan, archive and file confidential documents.
  • Assist with invoicing and purchase requisitions.
  • Coordinate purchasing and stock levels of office supplies and equipment.
  • Manage access control, pass allocation & security procedures.

 

 

To be successful you need to have:

  • IT proficient, skilled in Microsoft Office products and Outlook Calendar.
  • Excellent written and verbal communication skills.
  • A self-starter, able to take initiative and prioritize own workload.
  • Ability to multitask and work with minimal supervision.
  • Excellent command of English (both written and spoken).
