We are seeking a positive and enthusiastic Workplace Services Assistant to take on the day-to-day running of our beautiful HQ office in the City of London. The ideal candidate will support with facilities tasks, internal events and help create a safe, efficient, and welcoming environment for all employees and visitors.

 

This role requires proactiveness and attention to detail as it involves a variety of administrative and operational tasks to ensure the smooth running of workplace services. This role is based on the reception desk and requires office attendance five days a week.

How we work:

 

The office is located in Gresham Street next to St Paul’s cathedral with easy access and transport links via St Paul’s, Bank, Cannon Street, City Thameslink, Liverpool Street, Farringdon, Mansion House.

 

The impact you will have:

  • Reception – provide a welcoming first point of contact for visitors to the office
  • Handle inbound calls, taking messages and/or transferring calls internally
  • Manage mail, deliveries and courier services
  • Facilitate office events both internally and externally
  • Arrange catering for meetings
  • Ensure meeting rooms are maintained and equipped for meetings
  • Respond to requests from employees in a timely and efficient manner
  • Collating, scanning, archiving and filing of confidential documents
  • Assisting with invoicing and purchase requisitions
  • Update and maintain office seating plan
  • Responsible for reviewing supplier contracts to ensure the best service and rates
  • Maintain and improve overall office appearance and function
  • Coordinate purchasing and stock levels of office supplies and equipment
  • General premises management, ensuring all maintenance requirements are resolved in a timely manner
  • Manage access control, pass allocation & security procedures
  • Conduct office inductions

 

What we’re looking for:

 

  • 2-3 years’ experience providing office administration
  • Relevant Health & Safety experience
  • IT proficient, skilled in Microsoft Office products and Outlook Calendar
  • Excellent written and verbal communication
  • A self-starter, able to take initiative and prioritize own workload
  • Ability to multitask and work with minimal supervision
