The Team Assistant plays a critical role in enabling the effectiveness of senior leaders and their leadership team within the European Revenue organization. This position goes beyond traditional administrative support, requiring sound judgment, independent thinking, and the ability to operate with a high degree of autonomy in a fast‑paced, global environment.

 

The role partners closely with senior leaders, Executive Assistants, and key internal stakeholders to anticipate needs, proactively manage priorities, and ensure seamless execution of day‑to‑day operations. The Team Assistant is entrusted with access to sensitive and confidential information and is expected to apply discretion, professionalism, and integrity at all times.

How we work:

 

We follow a hybrid working model, spending an average of three days per week at our office location. The office is located in Gresham Street next to St Paul’s cathedral with easy access and transport links via St Paul’s, Bank, Cannon Street, City Thameslink, Liverpool Street, Farringdon, Mansion House.

 

The impact you will have:

 

  • Strategic Administrative & Calendar Management
  • Independently manage complex and dynamic calendars for senior leaders, exercising judgment to prioritize competing requests and proactively resolve conflicts.
  • Anticipate scheduling needs and propose solutions that align with business priorities and regional time zones.
  • Ensure leaders are fully prepared for meetings by proactively coordinating agendas, materials, and logistics, flagging risks or gaps in advance.
  • Meetings, Communications & Executive Coordination
  • Own end to end coordination of leadership meetings, forums, and offsites, including planning, logistics, documentation, and follow up.
  • Draft, format, and proofread high quality presentations, reports, and written communications, often on behalf of senior leaders.
  • Produce accurate meeting notes, synthesize key decisions and actions, and independently follow up with stakeholders to drive completion.
  • Exercise discretion when handling sensitive discussions, leadership materials, and commercially confidential information.
  • Travel, Logistics & Executive Support
  • Independently arrange complex domestic and international travel, assessing options and making recommendations that balance cost, time, and business needs.
  • Proactively identify and address potential travel or logistics issues to ensure smooth execution.
  • Support expense processing and reconciliation with accuracy and sound judgment.
  • Stakeholder Partnership & Cross Functional Collaboration
  • Serve as a trusted point of contact for senior stakeholders, demonstrating confidence when interacting with leaders across Revenue, Corporate, and cross functional teams.
  • Partner closely with Executive Assistants to provide seamless coverage and coordination across the broader leadership community.
  • Navigate sensitive situations with professionalism, influencing outcomes through strong interpersonal skills.
  • Operational Excellence & Process Improvement
  • Manage and maintain confidential documents, leadership trackers, and shared materials with a high degree of ownership and accountability.
  • Identify inefficiencies in administrative processes and independently recommend and implement improvements to ways of working.
  • Apply critical thinking to ambiguous situations, making informed decisions within scope and escalating appropriately when needed.
  • Be a senior relationship owner of various external agencies, including paid media agency and other agencies 
  • Serve as go-to relationship owner for external partners, including Google, Meta etc. 

 

 

What we’re looking for:

  • Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent relevant experience.
  • 3+ years of experience in an administrative, team assistant, or coordination role, ideally supporting senior leaders in a corporate or global environment.
  • Demonstrated ability to work independently, exercise sound judgment, and manage sensitive information with discretion.
  • Strong organizational and prioritization skills, with the confidence to push back and realign priorities when necessary.
  • Clear, professional written and verbal communication skills, including experience drafting executive level materials.
  • High level of proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel); curiosity and comfort with emerging digital and AI tools is a plus.
  • Comfortable operating in a fast moving, sometimes ambiguous environment with multiple stakeholders and competing demands.
  • Trusted, proactive, and solutions oriented mindset with a strong sense of ownership and accountability.
