The Executive Assistant (EA) provides high‑impact, proactive administrative and operational support to the Chief Marketing Officer (CMO) and two Senior Vice Presidents (SVPs) within the Marketing organization. This role is critical in enabling senior Marketing leadership to focus on strategic priorities, growth initiatives, and cross‑functional collaboration.

 

Operating in a fast‑paced, global environment, the EA acts as a trusted partner, managing complex schedules, communications, and coordination across the Marketing leadership team. The successful candidate is highly organized, discreet, and confident working with senior executives, with the ability to anticipate needs, exercise sound judgment, and manage competing priorities effectively.

 

The role follows a hybrid working model, with three days per week based out of the Jacksonville headquarters office.

 

Key Responsibilities

Executive Support & Calendar Management

  • Manage highly complex and dynamic calendars for the CMO and two Marketing SVPs, balancing strategic priorities, internal leadership commitments, and external engagements.
  • Proactively resolve scheduling conflicts and prioritize time‑sensitive matters across multiple senior leaders.
  • Act as a gatekeeper for executive time, ensuring efficient information flow and decision‑making.

Meetings, Communications & Preparation

  • Coordinate leadership meetings, offsites, and executive forums, including agenda creation, briefing materials, and follow‑up actions.
  • Prepare, edit, and proofread presentations, reports, and correspondence with a high level of accuracy and executive polish.
  • Capture key decisions and actions from meetings and ensure timely tracking and completion across stakeholders.

Travel & Logistics

  • Arrange complex domestic and international travel for the CMO and SVPs, including itineraries, accommodations, and expense coordination.
  • Anticipate logistical challenges and provide contingency planning to ensure seamless execution.

Stakeholder & Team Coordination

  • Serve as a key point of contact between the Marketing leadership team and senior executives, internal partners, and external stakeholders.
  • Build strong working relationships across Marketing, Corporate, and cross‑functional teams to support alignment and execution of priorities.
  • Partner closely with other Executive Assistants to ensure smooth coordination across the broader executive team.

Operational & Administrative Excellence

  • Support operational needs such as document management, tracking deliverables, maintaining leadership dashboards, and managing confidential information.
  • Handle sensitive matters with the highest level of discretion, professionalism, and integrity.
  • Identify and implement opportunities to improve administrative processes, workflows, and efficiency across the Marketing leadership team.
  • Own the consolidation, coordination, and distribution of executive‑level reporting, including Monthly Business Reviews (MBRs), ensuring accuracy, consistency, and alignment across Marketing and cross‑functional teams.

 

Experience & Skills

  • Bachelor’s degree in Marketing, Communications, Business Administration or related field, required, or additional relevant experience in lieu of education, required.
  • 3+ years proven experience as an Executive Assistant supporting senior executives (C‑suite and/or SVP level), ideally within a global or matrixed organization, required.
  • Demonstrated ability to support multiple executives simultaneously in a fast‑paced environment.
  • Exceptional organizational, time‑management, and prioritization skills with strong attention to detail.
  • Excellent written and verbal communication skills, with confidence engaging at executive level.
  • Advanced proficiency in Microsoft Office tools (Outlook, PowerPoint, Word, Excel). Expertise in AI a plus.
  • High level of discretion when handling confidential and sensitive information.
  • Experience supporting Marketing, Commercial, or Growth‑focused leadership teams.
  • Comfort working across time zones and coordinating with international stakeholders.
  • Strong problem‑solving mindset with the ability to anticipate needs and think several steps ahead.
  • Adaptable, calm, and resilient approach in an evolving and high‑change environment.
